Financial support

Beneficiaries of the open facilities with scheduled proposals at the National Laboratories of CNPEM are eligible for financial support to carry out their experiments.

These financial resources come from CNPEM’s budget. Therefore, CNPEM reserves the right to interrupt, modify the rules, and/or discontinue the granting of financial support at any time.

The applicable amounts are subject to the ceilings established by CNPEM, which will be periodically reviewed and published on the official website. Any amount exceeding these limits shall be the sole responsibility of the beneficiary, who must cover the difference relative to the financial support granted by CNPEM. Information on the applicable limits can be found in the table below.

Financial Support for In-Person Experiments

This support is intended for external beneficiaries affiliated with Brazilian institutions located outside the state of São Paulo, as well as for foreigners residing in Latin America and the Caribbean. Proof of location is based on the user’s institutional affiliation, as informed in their registration on the SAU Online portal.

The financial support includes:

  • Transportation support: reimbursement of expenses related to airline tickets, ground transportation, or mileage, up to the limit established in Annex 1. The purchase of airline tickets may be carried out by CNPEM exclusively for international travel and for students coming from the North, Northeast, and Central-West regions of Brazil.
  • Accommodation support: accommodation at the CNPEM Campus Guest House during the period of stay for the experiment. In case of unavailability, expenses with off-campus accommodation will be reimbursed up to the limit established in the table below.
  • Meal support: during the experiment period, lunch will be provided at the CNPEM restaurant through the user’s identification badge. On weekends, when the CNPEM restaurant is closed, expenses with meals at other establishments will be reimbursed, limited to the equivalent value practiced by the Campus restaurant.

Financial Support for Remote Experiments

This support is intended for external beneficiaries of Brazilian institutions who reside at a distance greater than 120 km from Campinas, as well as foreigners residing in Latin America and the Caribbean.

Sample shipment support: payment or reimbursement of sample shipment costs within Brazil, Latin America, and the Caribbean for users opting to perform experiments remotely, according to the eligibility criteria in the table below. CNPEM is not responsible for any delays caused by third parties.

Rules for Granting Financial Support

  • Financial support will be granted exclusively to beneficiaries who submit a prior request through the SAU Online portal.
  • The support may be granted more than once for the same proposal, provided that the need for multiple visits to CNPEM is duly justified.
  • Financial support is not available to users residing in the state of São Paulo or in countries outside Latin America and the Caribbean.
  • Financial support will not be granted to beneficiaries who receive any other type of financial support to carry out the scheduled experiment.
  • The beneficiary must be formally affiliated with a public or private nonprofit educational and/or research institution.
  • The financial support request must be submitted at least:
    • (i) 15 (fifteen) days before the start of the proposal for users residing in Brazil; and
    • (ii) 45 (forty-five) days before the start of the experiments for foreign users.
  • If there is a need to advance the visit (for sample preparation or other cases), the support request will be available as soon as the proposal is scheduled. For cases not covered by these rules, beneficiaries must contact edu@cnpem.br. Retroactive requests will not be accepted, and failure to comply with these deadlines will result in denial of the request.
  • Failure to comply with the rules for granting financial support, as well as unjustified absence from the scheduled experiment, may result in cancellation of the granted support and reimbursement of amounts already advanced by CNPEM. CNPEM reserves the right to suspend or cancel the granting of new financial support to beneficiaries who violate these provisions.
  • Sample shipment requests must be submitted through the SAU Online platform, which becomes available after proposal scheduling. After approval, the beneficiary will receive authorization to send the samples or will be contacted for collection at their institution. Packages sent outside the SAU Online process will not be accepted. This rule applies due to the scheduling of open facilities and to ensure the safe arrival of samples at CNPEM.
  • Beneficiaries requesting support for sample shipment must provide all required documentation prior to shipment. For international shipments, authorization will only be granted after certification of correct completion of the Packing List, Invoice, and detailed sample description. Only samples that are not biologically or chemically hazardous, not intended for therapeutic or diagnostic use, not toxic, pyrophoric, infectious, pathogenic, or medicinal are allowed. Samples are strictly for laboratory testing purposes and must not contain additives derived from animal or cell culture, such as albumin or serum.

Sample shipment support under the Mail-In operation mode: payment or reimbursement of shipment costs for all proposals approved under the Mail-In operation mode. CNPEM is not responsible for delays caused by third parties.

Accountability

Beneficiaries must submit accountability documentation within 10 (ten) calendar days after completion of the experiment or shipment of samples. Failure to comply with this deadline may result in suspension of future financial support and the requirement to return previously received amounts.

Required Documents

Transportation: airline or bus ticket and corresponding proof of purchase, or odometer reading for mileage reimbursement.

Sample shipment: submission by email of the shipment service purchase receipt, in compliance with the maximum value established in the table below.

Reimbursement

The User’s Office (EdU) will process reimbursement to the beneficiary for the granted amount related to air or ground transportation and sample shipment, up to the limit established in the table below. Reimbursement requests must be submitted with the required documentation listed above. The reimbursed amount will be deposited into the beneficiary’s bank account within 10 (ten) business days after submission of the receipts.

Important: the bank account provided for reimbursement must be a checking account and must be held in the beneficiary’s own name.

Data Protection and Confidentiality

The beneficiary agrees to provide only the data strictly necessary for processing the financial support and acknowledges that CNPEM will process such data in accordance with applicable personal data protection legislation. Confidential or sensitive information related to experiments will be treated with confidentiality, in compliance with CNPEM’s internal regulations.
