Lodging, dining hall, and other facilities

Through the User´s Office, the CNPEM offers lodging, a dining hall, and other facilities for users involved in regular activities at the campus. The rules for aid can be found here.

Lodging

The CNPEM Guesthouse is primarily intended for external users with scheduled research proposals at the National Laboratories on campus who do not reside in the city of Campinas.

Guests and internal users (CNPEM staff members, interns, and collaborating researchers) may also stay at the guesthouse, subject to availability and provided there is a justified need related to research proposals or activities that extend into the night shift.

The guesthouse is not intended for tourist, personal, or long-term accommodation.

Reservations

Reservations for use of the CNPEM guesthouse follow the rules below:

Guesthouse reservations are granted according to the following order of priority:

  1. External users with scheduled research proposals;

  2. Occasional guests of the National Laboratories;

  3. Staff members, fellows, and interns with scheduled proposals.

Room availability follows the priority order defined below:

  1. Users receiving financial aid from CNPEM;

  2. Users with proposals scheduled for activities extending into the night period;

  3. Other requests.

Due to its limited capacity, the CNPEM guesthouse is not available for:

  • Participants in internal CNPEM events (workshops, courses, and training activities);

  • Staff members, interns, fellows, and researchers without active research proposals;

  • Vendors and third-party service providers.

Reservation procedures

External users:
Reservation requests must be submitted via the proposal submission system or by email to edu@cnpem.br.

Internal users:
A research proposal requiring activities during nighttime hours is mandatory. In such cases, reservation requests must be submitted through the proposal submission system.
When an overnight stay on campus is required for work execution, the reservation request must be sent by email to edu@cnpem.br, with a copy to the immediate supervisor, including the full name, requested stay period, and justification.

Guests:
When an overnight stay is required for institutional purposes, the reservation request must be made by the host by sending an email to edu@cnpem.br, informing the guest’s full name, requested stay period, and payment method.

The minimum deadline for reservation requests is two (2) business days prior to the check-in date. In emergency cases, availability will be assessed by the User Office (EdU).

Changes or substitutions of guests in confirmed reservations must be communicated to the EdU (User Office) at least 24 hours in advance.

The maximum allowed length of stay is 15 consecutive days, with the possibility of renewal subject to justification, a new request, and availability.

In case of unavailability due to full occupancy or maintenance, alternative accommodation options in the surrounding area will be suggested.

Check-in and check-out

Guest arrival and departure at the guesthouse follow the rules below:

CHECK-IN:
Daily, with no restriction on arrival time.
Check-in location: CNPEM main gate.
Hours: 24 hours a day.

  • Upon check-in, the guest will receive the apartment key, which must remain in their possession during their stay. Loss of the key will result in a replacement fee.

  • Requests for apartment changes for any reason must be made exclusively to the EdU (User Office), either in person or through the following channels:

CHECK-OUT:
Daily, by 10:00 AM.

Check-out locations:

  • Monday to Friday, until 10:00 AM – EdU (User Office), room 903 G1 – Sirius, when payment by debit or credit card or document signing is required.

  • All days, 24 hours – CNPEM main gate.

Note: Check-out outside the locations and hours specified above is not permitted.

  • For departures on weekends, check-out must be completed at the EdU (User Office) by the preceding Friday if there are pending payments or documents.

  • If there are no pending issues, keys must be returned to the main campus gate on the day of departure.

Payment

Daily rates must be paid according to the guidelines below:

  • The daily rate is BRL 55.00 per person, and does not include breakfast, lunch, or dinner. No service fees are charged.

  • Payment methods: debit card, credit card, or PIX.

  • Payment may be made at the EdU during check-out hours when using debit or credit cards. For PIX payments, the QR code will be provided inside the key envelope, and the receipt may be sent to edu@cnpem.br.

  • In the event of cancellation after payment, refunds will be processed upon formal request to the EdU.

  • If additional paid daily rates are not used, refunds will be processed upon formal request. Alternatively, the user may opt to keep the amount as credit for future use.

  • External users who have approved CNPEM financial aid are exempt from payment.

Cancellation

Reservation cancellations follow the rules below:

  • Failure to notify cancellation at least two (2) hours in advance will result in charges for the reserved daily rates.

  • Failure to complete check-out on the scheduled date will result in charges for the period until the key is returned.

  • Cancellations should preferably be communicated to the EdU via email at edu@cnpem.br.

Infrastructure and Services

The following facilities are available for guest use:

  • Shared kitchen with refrigerator (food storage only), microwave, electric oven, cooktop stove, and coffee maker;

  • Laundry area with washer and dryer, clothesline, and iron;

  • Common lounge area;

  • Bedrooms with private bathroom, Wi-Fi, wired internet connection, minibar, bed linen, and towels;

  • Parking on the CNPEM campus;

  • Housekeeping service (Monday to Friday, from 7:00 AM to 7:00 PM, and Saturdays from 11:00 AM to 3:00 PM);

  • Double rooms (two beds);

  • Triple rooms (one bed and one bunk bed).

Any damage to property (furniture, equipment, or facilities) will be charged to the responsible guest.

Pets are not allowed. Visits by non-registered guests are not permitted in the rooms and are restricted to common areas only.

Recommendations for use of the facilities

Guests are requested to observe the following guidelines:

  • All guests must comply with the Guesthouse Regulations posted in every room;

  • Silence must be maintained at all times in the guesthouse;

  • The kitchen refrigerator is for shared use and requires proper identification of stored food and disposal of unused items;

  • Removal of items from rooms or other areas is not permitted, including bed and bath linens, pillows, mattresses, cutlery, dishes, and other items;

  • Rooms must be made available for cleaning and linen/towel changes, with the appropriate notice placed on the door;

  • Water and energy must be used responsibly (turn off lights, air conditioning, and equipment when leaving);

  • Guests must ensure respectful coexistence; loud music or any disruptive behavior is strictly prohibited;

  • Smoking is strictly prohibited within the guesthouse premises.

Any irregularities identified in the guesthouse facilities must be reported to the User Office via extension 1321, WhatsApp +55 (19) 99827-9687, or email edu@cnpem.br, from 8:00 AM to 4:30 PM. Outside office hours, reports should be directed to the CNPEM main gate via extension 1001 or email portaria@cnpem.br.

Dining Hall

There is a dining hall and a snack bar at the CNPEM for staff and visitors to the campus.

Hours:

  • Breakfast: Monday to Friday, 7:00 AM to 9:00 AM;
  • Lunch: Monday to Friday, 11:00 AM to 2:30 PM;
  • Dinner: Monday to Friday, 6:00 AM to to 8 PM.

For users receiving financial aid, the lunch fee will be credited directly via their ID tag. Financial aid does not cover other meals, which should be paid for directly at the dining hall.

If you need vegetarian or vegan meals at the CNPEM restaurant, please submit your request at the kiosk located in front of the restaurant by the morning of the day prior to the meal. Recurring requests are also available.

Library

The library is located within the Administration building. The collection contains books, manuals, electronic media, norms, periodicals, annals, and dissertations.
